Privacy policy
Draft, October 2026
Draft for review. This policy describes how Repairsage works today. It hasn't been reviewed by a lawyer yet and isn't final.
Repairsage is software that collision repair shops use to run their production board. This policy explains what information Repairsage holds, why, where it's kept, and how it's protected. "We" means Repairsage; "shop" means a business that uses Repairsage; "you" means anyone whose information is in it.
Who is responsible for what
A shop decides what information it puts into Repairsage about its customers and their vehicles, and uses it to repair those vehicles. We keep that information on the shop's behalf and use it only to provide Repairsage to that shop. If you're a shop's customer, the shop is your first contact about your information.
What we hold
- Shop staff accounts: name, email, phone number, job title, role, a hash of the password (never the password itself), and settings such as theme and notification choices.
- Shop customers and vehicles: name, phone number and email; the vehicle's VIN, year, make, model, colour and plate; the insurer and claim number.
- Repair records: repair orders, dates, hours, checklists, comments, photos and documents the shop adds, supplements, and a history of changes.
- Estimates (EMS import): when a shop turns it on, a computer the shop connects reads the estimates its estimating system exports. Only the customer's name, phone and email, the vehicle, the RO, insurer, claim number, estimator, dates, labor hours and estimate lines are sent to Repairsage. Addresses, policy numbers, payment details and the rest of the estimate stay on the shop's computer. Estimates that don't become a repair order are deleted after 90 days, or sooner if the shop chooses.
- Technical data: sign-in sessions, the device's push-notification address if notifications are turned on, and server logs (time, address requested, result) used to keep the service running and secure.
How we use it
Only to provide Repairsage: to show the board and its cards, keep every screen in sync, send the notifications a user asked for, import estimates, and keep the service secure and working. We don't sell information, share it for advertising, or contact a shop's customers.
Where it's kept, and who helps us
- Microsoft Azure, in the United States, hosts Repairsage and its database and files.
- Amazon Web Services (S3), in the United States, holds photos and documents added in Repairsage's earlier version, until they're moved to Azure.
- Twilio sends text messages users asked for.
- Our email provider sends the emails users asked for.
- Browser push services (from Google, Apple or Mozilla, depending on the device) deliver push notifications.
- The NHTSA vPIC service (U.S. Department of Transportation) receives a VIN when a user decodes one, and returns the vehicle's details.
How it's protected
- Everything travels encrypted (HTTPS).
- Stored data is encrypted, and customers' names, phone numbers, emails, VINs, plates and claim numbers are encrypted a second time, field by field, with keys kept apart from the database.
- Each shop sees only its own information, and roles limit what each user can do.
- Passwords are stored only as secure hashes.
Cookies and browser storage
Repairsage uses a sign-in cookie to keep a user signed in, and a small cookie that tells this site a user is signed in, so it can take them straight to the app. The app also remembers preferences, such as the theme, and a connected computer's EMS folder, in the browser. We don't use advertising or tracking cookies.
How long we keep it
A shop's information is kept while the shop uses Repairsage. When a shop leaves, we delete its information on request, after giving it a chance to take a copy. Unused estimates are deleted after 90 days. Logs are kept only as long as needed to run the service.
Your choices
Users can change their notification choices in My Settings. A shop can ask for a copy of its data, or for it to be corrected or deleted, by emailing info@repairsage.com. A shop's customer can ask the shop, or us, and we'll work with the shop to answer.
Children
Repairsage is for businesses and isn't meant for children.
Changes
If we change this policy, we'll update this page and its date, and tell shops of any important change.
